It’s hard to manage your time during the week if you don‘t know all the tasks you have to do. You always end up playing catch-up.
I do my planning on Sunday night. It lets me have an overview of my week in advance as well as see what I need to do every day.
I use Trello.
Here‘s a simple hack you can use:
Create nine columns: one for each day of the week, one for Today, and one for Done.
Here‘s my step-by-step process:
List Everything Create cards for all the tasks you need to do next week
Estimate Time Tag each card with a color that represents how many Pomodoros (25-minutes) you think that task will take. I use green for 1 Pomodoro, yellow for 2, and orange for 3. If something takes more than 3, split it into multiple tasks
Plan Your Week Each day you can expect to get about 8-10 Pomodoros done. Drag cards into the columns until you have filled up each weekday with 10 Pomodoros worth of cards. For weekends, I usually drag one or two
The Actual Work Open Trello first thing in the morning and drag things over from the appropriate day into the “Today”. Now sort it based on priority: work on the most important things first
You are using quotas when it comes to Pomodoros.
Because you have those quotas in place, you know what is expected each and every week.
Dear Dan,
I love the approach. Thanks for sharing 😊

It’s a tool we built to do just that super fast with a couple of keystrokes.
I’d love to hear your thoughts on it ❤️
